Privacy notice

This notice covers this website. It is written to be read, not to be impressive. If anything here is unclear, ask and we will explain it plainly.

1. Who we are

Prospaplans Ltd is the data controller for information collected through this website. We are a limited company registered in England and Wales. Our registered office is O'Hana House, Beetley, Norfolk. You can reach us on +44 (0) 1362 668504 or at info@prospaplans.com.

2. What we collect

When you send an enquiry, we collect the details you type in: your name, email address, and optionally a telephone number, the site postcode, the service you are interested in, and your message. Please do not send us personal data about other people unless you have their permission to do so.

We also collect standard technical information about visits, which is described under cookies below.

3. Why we collect it, and on what basis

Enquiry details: to reply to you, assess the work you need, and prepare a price. Our lawful basis is our legitimate interest in responding to a business enquiry you initiated, along with steps taken at your request prior to entering into a contract.

Newsletter: only if you tick the separate newsletter box. The lawful basis is your consent, and you may withdraw it at any time. Consent to the newsletter is not required in order for us to answer your enquiry.

We do not use your enquiry details to add you to a marketing list automatically. If you ask for a quote and do not opt in, you will receive that reply and nothing else.

4. How long we keep it

Enquiry details are kept for up to 12 months from your last contact, so that we have the context if you come back about the same site, and so we can defend any claim arising from the work. After that they are deleted.

Newsletter subscriptions are kept until you unsubscribe, after which your address is moved to a suppression list so that we do not accidentally contact you again. The suppression entry is minimal and is retained for that purpose only.

5. Who else sees it

Our hosting provider processes website requests on our behalf, and our email provider processes messages. Both do so as processors under a written agreement limiting them to acting on our instructions.

We do not sell, rent or share your personal data with third parties for their own marketing. We would disclose data if we were legally required to, and we would tell you unless prevented from doing so by law.

6. Cookies and measurement

The site uses only strictly necessary storage at present, such as remembering that you have dismissed a message. This does not require consent and does not identify you.

If we introduce audience measurement, it will be set up so that no analytics cookies are placed on your device until you accept them, with a choice offered at the point of first visit and a way to change that choice. Aggregate, cookieless page counting does not require consent.

7. Where your data is stored

Our service providers store data in the United Kingdom and the European Economic Area. If a provider were ever to process data outside those areas, we would ensure an appropriate safeguard is in place and would say so here.

8. Your rights

You have the right to ask for a copy of the personal data we hold about you, to correct it if it is wrong, to delete it, to restrict how we use it, to receive it in a portable format, and to object to our processing it. Some of these are limited where we have a legitimate interest in keeping records of work performed.

Write to us at the address above and we will respond within one month. There is no charge for a reasonable request.

9. Complaints

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk, or by calling 0303 123 1113. We would rather you raised it with us first, but you are not required to.

10. Changes to this notice

If we change how we handle data, or add a service provider that materially affects it, we will update this page and change the date below. Material changes affecting existing contacts will be notified directly.
